QuickBooks Online review: the accountant's favorite, now at a higher price

QuickBooks Online is Intuit's cloud accounting software for US small businesses, with bank feeds, invoicing, sales tax, inventory and the widest accountant support. It is the strongest fit for owners who work with a bookkeeper or accountant and can absorb per-plan user caps, from $38 a month.

Our verdict

The best accounting software for most US small businesses

QuickBooks Online has the deepest bookkeeping features in its class, and most US accountants and bookkeepers already know it, which makes tax time cheaper and faster. That is why it ranks first. Its weak point is price: Essentials rose to $85 and Plus to $140 a month in August 2026, and every plan caps users. Choose Xero if several people need logins, Zoho Books if you want inventory on a small budget, and FreshBooks if you are a freelancer who mainly sends invoices.

Good fit for

  • US small businesses that work with an outside accountant or bookkeeper
  • Service and product businesses with up to five users that need full double-entry books
  • Owners who want sales tax, bill pay and payroll from one vendor
  • Businesses planning to add inventory or job costing later

Look elsewhere if you are

  • Teams where many people need logins: Xero has no per-user fees
  • Cost-sensitive product sellers: Zoho Books Professional includes inventory for $40 a month billed yearly
  • Freelancers who mainly invoice: FreshBooks or Wave cost less

QuickBooks Online is cloud accounting software from Intuit, the California company behind TurboTax. It runs your books in a browser and mobile app: bank feeds, reconciliation, invoices, bills, sales tax, reports and, on higher plans, inventory and project tracking. US accountants default to it. That, more than any feature, is why most small businesses end up here. This review covers the US version, priced in US dollars; Intuit sells separate UK and Australian editions with their own prices and VAT or GST tools.

On the Cybernock research rubric QuickBooks Online scores 8.5/10, first in our best accounting software list. Bookkeeping depth and accountant support carry the score. Price costs it the most: after the August 2026 increase, the plan most growing businesses need costs $85 to $140 a month.

How does QuickBooks Online work?

When you connect business bank and card accounts, transactions flow in daily. You (or the AI categorization) assign each one to an account, then reconcile against your statements. Invoices, estimates, bills and receipts all post to the same double-entry ledger, so the profit and loss statement and balance sheet are always current. Every paid plan includes free accountant access: two accountant users on Simple Start, Essentials and Plus, and three on Advanced.

Paid tiers include iOS and Android apps for snapping receipts, sending invoices and checking cash. Sales tax is calculated on invoices automatically, and Plus adds discrepancy checks. The free plan launched in 2026 skips the mobile app and third-party integrations.

What does QuickBooks Online cost in 2026?

Simple Start costs $38 a month and Plus $140, per Intuit’s US pricing page in October 2026; the table has every tier. Newcomers choose between 50% off for three months and a 30-day trial. No annual contract exists, and no yearly discount either.

Plus$140/mo$70/mo5 + 2 accountantsInventory, project profitability, budgets, classes and locations
Advanced$340/mo$170/mo25 + 3 accountantsCustom permissions, workflows, Bill Pay Elite included

The discount matters less than it looks, and most people miss this when comparing. Simple Start costs about $399 in its first year ($19 for three months, then $38 for nine). Essentials comes to about $893 and Plus to about $1,470. From year two you pay the full price every month.

Prices also keep rising. Intuit’s product update raised Essentials, Plus and Advanced for renewals on or after August 1, 2026, while Free and Simple Start stayed put. According to AuditFriendly, that moved Essentials from $75 to $85, Plus from $115 to $140 and Advanced from $275 to $340. Advanced rose by about 24%.

What do the add-ons and payment fees cost?

  • Payroll: Intuit sells payroll bundled with QuickBooks Online. Workforce Payroll with Simple Start lists at $88 a month plus $6.50 per employee, which works out to about $50 a month on top of the accounting plan. When you weigh that, compare options in our payroll ranking.
  • QuickBooks Payments: invoiced card payments cost 2.99%, and bank transfers (ACH) cost 1% with a $1 minimum, per Intuit’s payment rates page dated September 2026.
  • Bill Pay Elite: $45 a month on Simple Start, Essentials or Plus; included in Advanced. Standard ACH bill payments beyond the monthly allowance cost $0.50 each.
  • Enhanced inventory: $40 a month as an add-on to Simple Start or Essentials.

Which plan should you buy?

Pick by headcount and features, because each tier has a hard user cap. A sole owner who only needs bank feeds, invoices and sales tax should buy Simple Start. If a partner or bookkeeper also needs a login, or you invoice in other currencies, Essentials is the floor, since Simple Start has one user and no multi-currency, per Intuit’s help center. Don’t pay for Plus unless you track inventory or need project profitability. Advanced is for teams above five users. If you’re unsure which features your filings need, ask your accountant before you upgrade; they will usually know which reports they expect at year end.

Skip the free plan for anything ongoing. In practice it’s a trial run, not a home for a real business. Two invoices a month (unless you route payments through QuickBooks Payments), one bank connection and no accountant access mean most owners outgrow it within weeks. Fit Small Business also lists caps of one estimate and two receipt uploads a month.

Where does QuickBooks Online fall short?

Cost per head is the main problem. If you’ve hired a fourth person, you feel it. Five people on Plus cost $140 a month, while Xero charges no per-user fees and Zoho Books Standard covers three users for $15 a month billed yearly. A team that grows from three to four users has to jump from Essentials to Plus, a $55 monthly step.

Price stability is the second issue. Third-party sites still circulate pre-August figures, so don’t trust one you haven’t checked against the live page. Card payments on invoices cost 2.99% with no fixed fee. That beats the 2.9% + 30¢ charged by FreshBooks, Xero’s Stripe link and Zoho Payments on invoices under about $333, and costs slightly more above that.

Who should not buy QuickBooks Online?

Skip the subscription if headcount is growing fast; capped seats turn every hire into an upgrade, and Xero has none. Budget-minded product sellers get stock tracking from Zoho Books for under a third of Plus. Solo freelancers who mainly bill clients are overbuying. Outside America, this review doesn’t apply: the UK and Australian editions carry separate prices and VAT or GST tools.

Xero is cheaper for teams because it has no per-user fees, but multi-currency and project tracking sit on its $97 Established plan. Zoho Books gives you inventory and multi-currency for $40 a month billed yearly, less than a third of QuickBooks Plus, though fewer US accountants work in it. FreshBooks is easier for freelancers who mostly send invoices and track time.

Should you choose QuickBooks Online?

Yes, if you have or plan to hire a US accountant or bookkeeper. The evidence is practical rather than flashy: most of them already work in this software, which cuts setup time and their fees, and its bank rules, sales tax and reporting are the most complete in the category. Start on Simple Start if you work alone, take the 50% discount, and upgrade only when you add a user or need inventory.

One caution, because this is money and tax. Software calculates sales tax and organises records; it doesn’t decide how your business should be taxed, which entity type suits you, or what you can deduct. Ask a CPA or enrolled agent for those calls, and let them review your chart of accounts when you set up.

The answer flips in three cases. If several people need logins, Xero costs less. If you are on a tight budget or run a small product business, Zoho Books covers inventory for a fraction of the price. If you are a freelancer under $50,000 in revenue who mostly invoices, Wave or Zoho Books’ free plan may be enough.
