Communication

Communication software is the set of tools a business uses to meet on video, take customer calls on a business number and chat as a team. Start with the meetings and chat in the suite you already pay for, then add a phone system when customers need to call you.

What does communication software cover?

Three ways a business talks, inside the team and with customers. Each one has its own category here, scored on the plan a team actually needs, including free-plan limits, AI fees and contract terms.

  • Video conferencing tools run and record online meetings, and most paid plans now write AI summaries.
  • Business phone systems give the team a shared number with a phone menu, call routing and texting.
  • Team chat apps replace internal email with channels, threads and quick calls.

The phone ranking is US-focused. Prices are US list prices before taxes and fees.

Which communication tool do you need first?

The one you already own. Google Workspace includes Meet and Google Chat from $7 a user a month billed yearly, and Microsoft 365 Business Basic includes Teams for the same $7, so most small teams should exhaust those before buying anything. Then add specialists in this order.

  1. If you meet outside clients every week, add Zoom. Guests know it, and Pro includes AI meeting notes for $14.16 a user a month billed yearly.
  2. If customers need to call a business number, add a phone system. Once two people share incoming calls, a phone menu beats a personal mobile, and Dialpad Standard puts AI call summaries on a $15 plan.
  3. If internal email and group texts get lost, add team chat. Slack suits teams with many apps or partners; Pumble is free with unlimited history.

If you’ve got neither suite, Microsoft Teams Essentials covers chat and 300-person meetings for $4 a user a month billed yearly. That is the cheapest single starting point.

What are the top picks in each category?

Team chatSlack (8.7)Free (90 days of history); Pro $7.25/user/mo billed yearlyTeams that connect many apps or chat with partners

Microsoft Teams sits a close second in team chat at 8.6. RingCentral matches Zoom Phone at 8.3 in phones, but a July 2026 data breach cost it trust points.

When does the order change?

Suites flip it most often. On Microsoft 365, Teams handles chat and 300-person meetings in one licence with HIPAA and FedRAMP options, and on Google Workspace, Google Voice adds business numbers, though an auto-attendant needs Voice Standard at $20 a user. Teams already on Zoom should look at Zoom Phone: unlimited US and Canada calling for $16 a user billed yearly, in the same app.

Bundles are loosening, too. Under commitments the European Commission made binding in September 2025, Microsoft must sell Microsoft 365 with and without Teams. A Slack company can now drop Teams and save.

Smaller needs change the pick again. Ooma Office gives desk phones without a contract from $19.95 a user. Webex Meet hosts 200 people for $12. Zoho Meeting starts at $1 a host.

What traps catch buyers of communication tools?

Free plans that forget, and AI that costs extra. Slack’s free plan shows 90 days of messages, and its help center says data older than a year is deleted, while Microsoft charges $21 to $30 per user for Copilot in Teams. Don’t trust a free tier with decisions you’ll need next year. When you compare, price the AI too.

How do we score communication software?

Research scores, not lab tests. In practice the criterion notes tell you more than the overall number. Affiliate commissions never change a score.

Questions people ask

Which communication tool should a small business set up first?

Use whatever your suite already includes. Most teams need a phone system next, once customers call a shared business number, and only then Zoom or Slack, when guests, partner channels or app integrations outgrow the built-in tools. Teams on neither suite can start with Teams Essentials at $4 per user.

Do I need Zoom if I already have Google Workspace or Microsoft 365?

Often not. Google Meet and Microsoft Teams rank second and fourth among video tools and are included in those suites. Zoom earns its place when you meet many outside clients, want AI notes on every paid plan, or need end-to-end encryption on every plan, including free. Recording and Gemini notes in Meet start on Workspace Business Standard at $14.

Can one app handle chat, meetings and phone calls?

Zoom comes closest: Zoom Workplace covers meetings and team chat, and Zoom Phone adds unlimited US and Canada calling in the same app for $16 per seat on annual terms. Webex Suite bolts business calling onto Webex meetings at $22.50 per user annually. The specialists still lead each ranking: Slack for chat and Dialpad for phones.

Do the business phone picks work outside the US?

Our business phone ranking is US-focused. The plans compared include unlimited US and Canada calling, prices are US list prices before taxes and fees, and US texting registration costs are counted. Several services sell abroad, but local numbers, calling rates and prices differ, so check coverage for your country on the vendor's own site before you buy.

How does Cybernock score communication software?

Every tool gets a research score out of 10 from a rubric weighted for its category: meeting limits and AI notes count most for video, price and call handling for phones, and messaging plus data control for chat. Evidence comes from official pricing, plan limits, security documents and dated independent reporting, never from commissions.
