Business email hosting

Email hosting is a paid service that runs mailboxes on your own domain, such as name@yourcompany.com, with spam filtering, storage and admin controls. Our email hosting reviews compare eight providers on security, the real price per user, storage and what comes in the box, including office apps and video calls, all checked in October 2026.

Which email host fits your team?

Decide how your team works first, in the browser, in desktop Outlook or under confidentiality rules, because price per user and storage come second and moving a whole team’s mail later costs far more time than any saving. Get the first call wrong and you pay twice.

  • If you want email, documents and meetings in one tool: Google Workspace, from $7 per user a month on an annual plan. Gmail’s filter blocks more than 99.9% of spam and phishing, by Google’s count.
  • If your team lives in desktop Outlook, Word and Excel: Microsoft 365. Business Basic gives a 100 GB mailbox for $7; Business Standard adds desktop Office for $14.
  • If you have up to five people and no budget: Zoho Mail Forever Free, provided a browser and phone app are enough. Skip the free plan if anyone needs desktop Outlook.
  • If you handle confidential client data: Proton Mail, whose zero-access encryption keeps stored mail unreadable even to Proton. Tuta encrypts for less, from €6, but has no IMAP.
  • If you just want a fast, private inbox: Fastmail, ad-free and staff-owned, from $5 per user.
  • If nobody does IT and you want help at any hour: Rackspace Email, $10 a mailbox with 24x7x365 support.

The default is Google Workspace. Switch to Zoho Mail when price decides. Mail Lite costs $1 per user; 50 GB mailboxes cost $4. Switch to Microsoft 365 when people keep years of mail, since its $7 plan holds 100 GB against Google’s 30 GB pooled on Starter. If you’ve already paid a web host for bundled mailboxes, check their renewal price before you add anyone.

When should you not pay for email hosting yet?

If you only need to receive mail at your domain, don’t pay yet. Porkbun and Spaceship forward email free to an inbox you already use, and Zoho Mail’s free plan covers up to five people with real mailboxes.

Forwarding has one limit. Replies still leave from the personal address, so pay for real mailboxes once clients see your replies or staff come and go. When an employee leaves, you can suspend a Workspace or Microsoft 365 user, which a personal Gmail account never allows. Your domain sits with a registrar from our domain registrar picks.

Which email hosting traps catch most teams?

Four traps cause most regret. None shows up on the first invoice.

  • Annual seat locks. Google and Microsoft annual plans let you add users mid-term but not remove them until renewal.
  • Renewal jumps on bundled email. Hostinger’s $0.39 mailbox needs a 48-month prepay and renews at $1.59, more than Zoho Mail Lite’s flat $1.
  • Apps that can’t connect. Tuta has no IMAP, so Outlook and Apple Mail can’t reach it; Proton needs its Bridge app for desktop clients.
  • Missing authentication records. Gmail’s sender guidelines have required SPF or DKIM from every sender since February 1, 2024, and DMARC from anyone sending more than 5,000 messages a day. Don’t skip them: Gmail may reject or spam-folder mail that fails.

Most people forget the seat lock until someone leaves in month three. In practice, start annual plans with the headcount you have today, and test the mail apps your team already uses before you migrate anyone.

How do we build our email hosting reviews?

Every score is a research score. We apply one published rubric to evidence you can check and don’t run deliverability or uptime tests of our own.

We read official pricing, plan and security pages, help-centre limits and independent reporting, and because security carries 25% of the score, a provider’s breach record moves its rank. Microsoft drops to third because of the 2023 Storm-0558 intrusion, which a federal Cyber Safety Review Board report blamed on a cascade of Microsoft security failures. Proton says its suite is ISO 27001 certified and SOC 2 Type II audited (Proton business plans); we report that as Proton’s claim.

Two price sources are second-hand, and we say so: Microsoft’s figures come from trade press because microsoft.com could not be fetched, and Google’s monthly prices from 2026 pricing guides. When you see a price marked third-party in a review, that is why. Commissions never move a score. We found no affiliate program for Fastmail, Tuta, Rackspace Email or Microsoft 365. They rank on merit anyway. Email hosting sits in our hosting and domains section.

Questions people ask

How much does business email cost per user?

Between $1 and $13 per user a month among the providers we rank, billed yearly. Zoho Mail Lite costs $1, Fastmail $5, Google Workspace and Microsoft 365 $7 each, and Proton Workspace Standard $12.99. Rackspace charges $10 a mailbox with no contract, while Hostinger starts at $0.39 only if you prepay 48 months, then renews at $1.59 to $3.99.

Is Google Workspace or Microsoft 365 better for business email?

Google Workspace is better for teams that work in the browser and co-edit documents. Microsoft 365 is better when people rely on desktop Outlook, Word and Excel or keep large mailboxes, since Business Basic includes 100 GB. Both start at $7 per user on annual plans. Both lock seats until renewal.

Can I get free email on my own domain?

Yes. Zoho Mail Forever Free covers up to five users with mailboxes on your domain, used through a browser or its phone app. If you only need to receive mail, registrars such as Porkbun and Spaceship forward domain email free to an existing inbox. Replies then come from that inbox, not your domain.

What are SPF, DKIM and DMARC?

They are DNS records that prove your mail is genuine. SPF lists the servers allowed to send for your domain, DKIM signs each message, and DMARC tells receivers what to do when checks fail. Gmail has required SPF or DKIM from all senders since February 1, 2024, and DMARC above 5,000 messages a day. When you switch hosts, update all three.

Is encrypted email worth paying for?

It is worth it when you hold confidential client data, as many law, therapy and accounting practices do. Proton Mail stores mail with zero-access encryption from $12.99 per user, with 1 TB each. Tuta also encrypts subject lines, calendars and contacts from €6, but desktop apps like Outlook can't connect to it. Holding nothing confidential? Don't bother with the premium.
