Our verdict
The best CRM for most small sales teams
Pipedrive does the core sales job, moving deals through a pipeline, with less setup and a fairer price than its main rivals, and that is why it ranks first. Growth at $39 per seat a month billed yearly adds 50 automations and email sequences with no onboarding fee, so a 3-person team pays about $1,404 a year. Pick HubSpot instead if you want a free CRM or need marketing and sales in one system, Zoho CRM if price per seat matters most, and Close if your team lives on the phone.
Good fit for
- Small B2B and service sales teams of 2 to 30 people with a defined deal process
- Founders who need their first real CRM and want it working in a day
- Teams moving off spreadsheets that want automation without hiring an admin
- Agencies and consultancies tracking proposals through clear stages
Look elsewhere if you are
- Teams that need a CRM that stays free: choose HubSpot or Zoho CRM
- Call-heavy outbound teams that need a power dialer: choose Close
- Companies that want marketing automation in the same system: choose HubSpot
How Pipedrive scored

Pipedrive is a sales CRM from Pipedrive Inc., founded in Tallinn, Estonia, in 2010 and now headquartered in New York. Everything revolves around a visual pipeline: each deal is a card that moves through stages you define, and the app nudges reps toward the next activity on every deal. More than 100,000 companies use it, according to Pipedrive.
On the Cybernock research rubric Pipedrive scores 8.5/10, first in our best CRM software ranking. Pipeline handling and ease of adoption carry that score, and the per-seat price is fair for a small team. It drops points for two reasons. There’s no free plan, and email marketing costs extra.
How does Pipedrive work?
You set up one or more pipelines, add stages that mirror how you sell, and import contacts and deals; an AI import assistant maps spreadsheet columns for you. When you hand it to reps, they work from the board and an activity list of calls, emails and meetings scheduled against each deal. Any deal without a next step gets flagged. That single habit, always having a next action, is what the product is designed to build.
In 2025 the old five tiers became four: Lite, Growth, Premium and Ultimate. Essential customers moved to Lite, Advanced to Growth, Professional and Power to Premium, and Enterprise to Ultimate, according to Pipedrive’s help center. If you’ve read a review that still quotes Essential or Professional, its limits are out of date.
Which Pipedrive features matter for a sales team?
Caps decide which tier you need. Pipedrive publishes them in its usage limits article, updated in September 2026:
| Limit | Lite | Growth | Premium | Ultimate |
|---|---|---|---|---|
| Leads + deals (per seat) | 2,500 | 5,000 | 15,000 | 20,000 |
| Custom fields (per company) | 30 | 100 | 300 | 500 |
| Active automations | None | 50 | 150 | 250 |
| Email sequences | None | 5 | 25 | 50 |
| Insights reports (per user) | 15 | 50 | 250 | 500 |
| Synced email accounts (per user) | None | 1 | 3 | 5 |
- Automations: fire actions when a deal changes stage, a field updates or an activity falls due, with up to 10 actions per workflow and if/else branches (3 on Growth, 10 on Premium).
- Sequences: timed email and task steps for follow-up, with up to 100 deals or contacts enrolled in one sequence.
- AI: every plan gets the AI import assistant, AI report creation and the Sales Assistant. Premium and Ultimate add AI email writing, email summaries and suggested replies. None of it is billed separately.
- LeadBooster: chatbot, live chat, web forms and the Prospector lead database. Premium and Ultimate include it; lower plans pay $32.50 per company a month billed yearly, according to third-party pricing guides.
What does Pipedrive cost for a 3-person and a 10-person team?
A 3-person team on Growth pays about $1,404 a year on annual billing; ten people pay about $4,680. Skip the Lite tier unless you sell alone; Growth is the first one with automations, sequences and email sync. There’s no onboarding fee and no seat minimum.
| Plan | 3 seats, billed yearly | 3 seats, billed monthly | 10 seats, billed yearly | 10 seats, billed monthly |
|---|---|---|---|---|
| Lite | $504 | $864 | $1,680 | $2,880 |
| Growth | $1,404 | $1,764 | $4,680 | $5,880 |
| Premium | $1,764 | $2,844 | $5,880 | $9,480 |
| Ultimate | $2,844 | $3,564 | $9,480 | $11,880 |
Pipedrive’s pricing page blocked our fetch, so these list prices come from dated third-party guides cross-checked in October 2026. One figure is disputed. Premium’s yearly rate shows as $49 in a July 2026 snapshot of Pipedrive’s page, while some guides still list $59. At $59, Premium would cost $2,124 a year for 3 seats and $7,080 for 10. Confirm the number at checkout before you commit.
Add-ons are where the bill grows. Campaigns, the built-in email marketing tool, starts at $16 a month for 1,000 contacts on monthly billing, according to EmailToolTester. Web Visitors starts at $49 a month. Most people forget both when comparing seat prices, so budget for them if newsletters will go out from the CRM.
Where does Pipedrive fall short?
No free plan is the obvious gap. HubSpot and Zoho CRM both let a tiny team run a pipeline for $0; Pipedrive gives you 14 days. Lite is thin, too. Without automations, sequences or email sync, it fits a solo seller better than a team.
Reporting is capped per user on the lower tiers, and deeper forecasting sits higher up. There’s also no built-in power dialer of the kind Close ships, so call-heavy teams need an integration. Finally, the leads-plus-deals ceiling scales with seats. That’s generous for most teams, yet it can bite a two-person shop importing a large lead list on Lite.
Who should not buy Pipedrive?
Don’t buy it if you can’t pay for a CRM yet. HubSpot’s free CRM covers two users and Zoho’s free edition three, which is enough to learn what you need. Outbound teams that dial all day should skip the integration hunt and start with Close. And when marketing automation must live in the same database as sales, HubSpot fits better, even though its sequences cost far more per seat.
How does Pipedrive compare with HubSpot, Zoho CRM and Freshsales?
| Pipedrive | HubSpot CRM | Zoho CRM | Freshsales | |
|---|---|---|---|---|
| Free plan | No (14-day trial) | Yes, 2 users, 1,000 contacts | Yes, up to 3 users | Not on the current pricing page |
| Plan with sequences | Growth, $39 (yearly) | Sales Hub Pro, $90 (yearly) | Standard, $14 (yearly) | Pro, $39 (yearly) |
| Onboarding fee | None | $1,500 on Pro | None listed | None listed |
| 3 seats a year on that plan | $1,404 | $4,740 incl. onboarding | $504 | $1,404 |
Each rival wins a specific case. In practice, HubSpot CRM is stronger if you want to start free or run marketing from the same system, though its sales features cost far more per seat. Zoho CRM is cheaper and more configurable, at the price of a busier interface. Freshsales matches Pipedrive on its Pro plan and adds a built-in phone. Close suits teams that make dozens of calls a day.
Should you choose Pipedrive?
Yes, if you run a small sales team with a clear deal process and want a CRM your reps will actually keep updated. The evidence supports it: Growth’s $39 seat includes 50 automations and sequences, with no onboarding fee, while HubSpot’s equivalent starts at $90 plus $1,500. Start the trial and rebuild your real pipeline inside it. Then buy Growth on annual billing, and move to Premium only when you need more than 50 automations, LeadBooster or the AI email tools.
The answer changes if you can’t pay yet: use HubSpot‘s free CRM. Heavy calling points to Close. The lowest price per seat with deep customisation points to Zoho CRM. The full best CRM software ranking and all CRM reviews lay out the trade-offs.
