Our verdict

The best help desk for most small support teams

Help Scout covers email, live chat, WhatsApp, Instagram and a knowledge base on its $25 Standard plan, and it is the easiest help desk for new agents to learn. That combination earns first place. A 3-person team pays $900 a year billed yearly, and the AI agent costs $0.75 per resolution. Pick Freshdesk if you want cheaper AI and SLA tools on every plan, Zendesk if you need phone support and several brands, and Gorgias if you run a busy Shopify store.

Good fit for

  • Support teams of 2 to 25 people answering mostly email and chat
  • SaaS companies and online shops that want a personal, email-like tone
  • Founders replacing a shared Gmail inbox with their first help desk
  • Teams that want a fairly priced AI agent without a long setup

Look elsewhere if you are

  • Phone-heavy support teams: choose Zendesk
  • High-volume Shopify stores that edit orders all day: choose Gorgias
  • Teams on the tightest budget per agent: choose Zoho Desk

Help Scout is a help desk from Help Scout, a software company founded in 2011 and headquartered in Boston, that puts email, live chat, social messages and a knowledge base into one shared inbox. It’s built for small and mid-sized teams that want customers to feel they’re emailing a person, not filing a ticket. Agents work from a clean list of conversations rather than a dense ticket grid.

On the Cybernock research rubric Help Scout scores 8.4/10 and ranks first in our ranking of the best help desk and live chat software. Three findings put it there: a low entry price, the gentlest learning curve we found, and a fair per-resolution AI fee. It drops points for lacking a built-in phone and for capping seats on cheaper tiers.

How does Help Scout work?

You connect a support address to an Inbox, add the Beacon widget to your site for chat and help articles, and link social and messaging channels. When you open the Inbox, every message sits there as a conversation. Agents assign it, leave private notes and reuse saved replies. On Plus and Pro, light users can follow along without a full seat.

Docs is the built-in knowledge base. In practice it deflects simple questions: articles surface inside Beacon, so a customer can find an answer before opening a chat. Workflows take care of routine tagging, assigning and closing, while SLA policies flag replies that are running late.

Which Help Scout features matter for a support team?

  • Channels: email, live chat, SMS, WhatsApp, Instagram and Facebook Messenger all start on Standard. Phone support works only through an Aircall integration.
  • AI: AI Assist, AI Drafts and AI Summarize are listed as unlimited on paid plans. AI Answers, the customer-facing agent, costs $0.75 per resolution and is free for a new account’s first 3 months.
  • Shopify: the official app shows a customer’s orders, fulfilment status and tracking in the conversation sidebar, and agents can refund, cancel, edit or duplicate recent orders from there, according to Help Scout’s documentation.
  • Mobile: free iOS and Android apps cover replies, notes and assignment, but not reporting or Docs management.

What does Help Scout cost for a 3-person and a 10-person team?

A 3-person team on Standard pays $900 a year on annual billing; ten people pay $3,000. Most small teams land on Standard because it’s the first tier with live chat, social channels, workflows and an SLA policy. The pricing page displays rates with a 16% annual discount already applied, and third-party guides list the month-to-month rates as $30, $54 and $90.

PlanPer user a month3 users a year10 users a year
Standard$25 ($30 monthly)$900 ($1,080)$3,000 ($3,600)
Plus$45 ($54 monthly)$1,620 ($1,944)$5,400 ($6,480)
Pro$75 ($90 monthly)Not available (10-user minimum)$9,000 ($10,800)

AI Answers is the variable that most people miss when budgeting. At 500 AI resolutions a month it adds 500 × $0.75 = $375, or $4,500 a year, once the free 3 months end. Help Scout bills each conversation once at most and doesn’t charge when the customer goes on to ask for a human. Extra Inboxes cost $10 a month and extra Docs sites $20 a month on annual billing.

A note on history. In late 2024 Help Scout moved new customers to pricing based on contacts helped, and the change drew complaints. New accounts are billed per user again, and a separate billing guide still covers older contact-based accounts. If you’ve been on a legacy plan for years, compare both models before you switch.

Where does Help Scout fall short?

There’s no built-in phone system, so voice support means paying for Aircall or another integration. Standard caps the team at 25 users and 2 Inboxes, and Plus at 50 users, so growing teams hit upgrade points. Pro demands at least 10 users and a sales call. That locks very small teams out of unlimited workflows.

Don’t expect Zendesk- or Freshdesk-grade automation. Standard’s workflows are the basic kind, and skills-based routing isn’t a headline feature on any tier. The Free plan works for a solo founder answering email, though it has no chat and a 100-contacts-a-month limit.

Who should not buy Help Scout?

Don’t buy it as a phone-first contact centre. When calls make up a large share of your queue, Zendesk’s built-in voice beats bolting Aircall onto an email tool. High-volume Shopify stores that edit, refund and reship orders all day get deeper order tools from Gorgias. And teams that judge purely on cost per agent will find Zoho Desk cheaper. Skip the Pro tier entirely if you have fewer than 10 agents: it isn’t sold to you.

How does Help Scout compare with Freshdesk, Zendesk and Intercom?

3 users a year, team plan$900$1,044$1,980$3,060 (Advanced)

The table shows where each rival wins, and most people miss the AI row: at 500 resolutions a month, Freshdesk’s agent costs $245 and Help Scout’s $375, while Zendesk’s runs about $730 to $1,000. Freshdesk is the better pick when you want SLA management and automation on every plan plus a cheaper AI agent. Zendesk suits teams that need voice, several brands and deep routing, at about twice the price. Intercom has the most capable AI agent, Fin, but its team features start at $85 per seat. If your company already runs on HubSpot’s CRM, HubSpot Service Hub keeps tickets next to deals and contacts.

Should you choose Help Scout?

Yes, if your team of 2 to 25 people mostly answers email and chat and you want a help desk new agents grasp in an afternoon. The numbers back it: $900 a year covers three Standard seats with chat and social channels, against $1,980 for Zendesk’s Suite Team. Start the 15-day trial and connect your real support address. Then buy Standard on annual billing, and step up to Plus when you need more than 2 Inboxes or advanced workflows.

The verdict flips if phone support fills your day: choose Zendesk. A Shopify store with heavy ticket volume gets deeper order edits and refunds from Gorgias. When budget decides everything, Zoho Desk costs less per agent. The full best help desk software ranking and all help desk reviews carry the comparison further.
